Who we are

Nairobi's trusted documentation partners: swift, precise and verified.

Swift Doc Documentation Services Ltd is a premier documentation consultancy based in Westlands, Nairobi. We specialise in preparing, lodging and expediting regulatory registrations, statutory compliances, licensing and official certifications for businesses, NGOs, professionals and individuals across Kenya.

From complex corporate formations and tax compliance to immigration filings, civil registry services and document legalisation, our dedicated desk eliminates procedural bureaucracy. We ensure every file is assembled with precision and submitted correctly the first time.

  • Written quotations before work begins
  • Named consultant on every file
  • Official receipts for all statutory fees
  • Secure archive of your certified copies
Why clients stay

The difference is
what happens before
submission.

Nearly every rejected application we inherit was rejected for something small and avoidable — a name mismatch, an expired attachment, a missing consent. Our process is built entirely around catching those before the file leaves our office.

Our guarantee before you submit

Custody you can audit

Every original document is logged on receipt, stored in a secured safe and released only against signature.

Official channels only

Statutory fees are paid directly to the authority. You receive the official receipt, always.

Timelines we can defend

We quote the true regulatory window, not a hopeful one — and tell you when a deadline cannot be met.

Checked before submission

A second reviewer audits every file against current requirements. That is why 98% clear on first submission.

How we work

Five stages, and you are told where you are at each one.

Two consultants advising a client across a meeting table
  1. Consultation

    Day 0

A 15-minute call or office visit where we establish exactly what you need, what the regulator will demand and what it will cost. No obligation, no vague quotations.

  2. Document audit

    Day 1

We list every supporting document, check each against current requirements, and flag the gaps before they turn into a rejection. This is where most applications quietly fail.

  3. Preparation & filing

    Day 2–4

Forms are completed, fees are paid against official receipts, and the file is lodged with the relevant authority under a reference we share with you.

  4. Follow-through

    Ongoing

We physically follow the file, respond to queries, and update you at every status change. You never have to guess where your application sits.

  5. Handover

    On issue

Original documents are handed over in person or by tracked courier, with certified digital copies archived securely for your future filings.

"We had failed twice on our own. Swift Doc rebuilt the file, told us plainly what was missing, and the certificate came through in nine days."

Wanjiru Kamau

"Our work permit renewals used to consume an entire month of HR time each year. They now run in the background and we simply receive the approvals."

Daniel Otieno

Head of People, Lakeside Logistics · Work Permits

"I needed a good conduct certificate and authenticated academic papers for a job in Doha, on a two-week deadline. Everything arrived with four days to spare."

Questions

Straight answers before you commit.

The same questions come up every week. Here are the honest versions.

All questions
Are you affiliated with the government?

No. We are a private documentation services firm. We prepare, lodge and follow up applications on your behalf using the same official channels — eCitizen, iTax, TIMS and the relevant registries. All government fees are paid directly against official receipts, which we hand over to you.

How is your fee structured?

Every engagement is quoted in two parts: the statutory government fee, and our professional fee for preparation and follow-through. You receive that breakdown in writing before we begin, and it does not change unless the scope changes.

Do I have to visit your offices?

Not usually. Most files can be handled remotely with scanned documents and a WhatsApp or email exchange. Biometrics, fingerprinting and certain interviews require your personal attendance, and we book those appointments for you.

How do you protect my documents?

Physical originals are logged, stored in a secured safe and released only against signature. Digital copies are encrypted, access-controlled and retained only for the period necessary for your filings. We never share client documents with third parties without written instruction.

What if my application is rejected?

We diagnose the reason, correct the file and resubmit at no additional professional fee where the fault lies with our preparation. Where the regulator changes a requirement mid-process, we advise you immediately and quote any additional statutory cost.
